What was in the way.
Patients existed in one system and not the other. Room numbers drifted, discharges were missed, and the census was reconciled by hand against payer and visit-due rules — so billing and scheduling worked off different truths.

How we built it.
One matching layer sits under all six bots — normalize, match on a record key, then fall back to name and date-of-birth scoring. Anything below the confidence threshold is never written blind: it becomes a flagged mismatch a human clears. The census engine encodes payer and visit-due rules as data, so the rules can change without touching the automation.

Patient Onboarding Sync — pulls new patient lists from the source system, creates missing records in the care platform, flags mismatches for the team
Facility Patient Importer — creates a record in the care platform for every patient found in a facility's system
Room & Discharge Sync — keeps room numbers in step across systems and processes discharges automatically
Census Reconciliation Engine — classifies patients by payer, checks visit due-dates against the rules, updates each status and raises scheduling tasks for exceptions
Room-Number Reconciler — cleans up and matches room numbers between two systems
